One of my goals in my internship has been to help support more automation in our systems, and a pain point that has been identified is the manual labour required to gather CLAs and iCLAS (as part of our Licensed Software Acceptance Procedure).
We are exploring a new method of managing the CLA and iCLA workflow, which is described at a high level in this padlet document.
In this workflow, the Contributor License Agreement is available in a Google Form, minimizing the cases where people need to sign and submit a document. Based on the submission form, the appropriate list is automatically made aware of the new agreement. In the case of the iCLA, the submission is automatically registered on a public google spreadsheet, which can be referenced when merging commits.
In the case of the CLA, the Leadership group is made aware of any need to coordinate with an institution.
This workflow would also allow those signing an iCLA to identify their interest in becoming a committer. Submissions are automatically sent to the Committers Google list so that existing committers can be more readily made aware of those interested in taking a larger role in code development. You can see the workflow for committers here.
We are posting this prototype here, and will forward this discussion to the members of the governance committees. We also invite public comment and questions on this discussion. We hope to be able to roll out this revised process this month barring major concerns.
Thanks,
Isabella and Kirsta
