Using IRC for Meetings

Set up the meeting

1. Invite zakim and rrsagent to the meeting.

zakim manages the queue, among other things, and rrsagent allows the creation of minutes.

In the #publishingcg channel, type:

/invite Zakim #publishingcg
/invite RRSAgent #publishingcg

2. Tell Zakmin to start the meeting

zakim, start meeting

2.a Tell rrsagent about the meeting (Might modify this if zakmin will ask to input information)

This allows the information to be automatically added to the minutes.

3. Find a scribe

If no one volunteers, zakim can randomly choose a scribe:

zakim, pick a victim

The scribe then tells rrsagent that they are the scribe by typing

scribenick: zhengxu

4. Document attendence

All attendees should type present+ in IRC.

During the meeting

5. Manage the queue

To get on the queue, type q+. To leave the queue, type q-. To acknowledge the speaker, type ack [ircname] to remove them from the queue.

After the meeting

6. Draft minutes and end the meeting

At the end of the meeting, someone needs to tell zakim to draft minutes:

zakim, end meeting
